This privacy notice applies to the use of the Coverior Oy website and to personal data processed through website‑based contacts (via a contact form or email). Personal data processed in connection with Coverior Oy’s services, customer relationships or assignments is described in separate, service‑ or contract‑specific privacy notices and is not covered by this notice.

3. Sources of Personal Data

Personal data is obtained directly from the individual who completes a contact form or sends an email to Coverior. If an enquiry results in an order, invoicing information is also obtained from the customer, namely the organisation's contact person.

4. Categories of Personal Data Processed

In connection with the website, Coverior Oy may process the following personal data:

• company name
• content of messages sent via the contact form
• IP address
• technical information related to the browser and device

5. Purposes of Processing

Personal data is processed for the following purposes:

• Responding to enquiries and requests for quotations submitted through the website
• Handling quotations and orders, and communicating in connection with orders
• Ensuring the functionality, security and technical availability of the website

The website does not use analytics tools designed to track or profile users.

6. Legal Bases for Processing

Coverior processes personal data on the following legal bases, depending on the purpose of the processing:

• Legitimate interests: Where an individual acts as a representative or employee of a company or organisation and is not personally a party to the contract, Coverior processes their personal data to respond to enquiries, handle quotations and orders, provide services and manage customer relationships. The processing is based on Coverior's legitimate interest in managing cooperation and related activities with business customers. Processing is limited to the data necessary for these purposes, taking into account the individual's rights and interests.
• Pre-contractual steps and performance of a contract: Where an individual personally requests a quotation or other pre-contractual steps, or is personally a party to the contract, personal data is processed as necessary to prepare quotations, process orders, provide services and fulfil contractual obligations.
• Legal obligation: Personal data is processed to the extent necessary to comply with Coverior's legal obligations, such as statutory accounting requirements.

Placing an order and delivering a service require the customer to complete the questionnaire necessary for the order and provide the information required concerning the company or organisation, the person placing the order and invoicing. If the required information is not provided, the order cannot be placed and the service cannot be delivered.

7. Data Retention

Personal data collected through the website is retained only for as long as necessary to handle the matter concerned.

• The enquiry does not result in a quotation or order: The data is deleted once the matter has been handled and, in any event, no later than six months after the matter has been closed, unless there is a justified reason to retain it for longer.
• A quotation is issued, but no order is placed: The data is deleted no later than six months after the quotation expires or it becomes clear that no transaction will take place, unless there is a justified reason to retain it for longer.
• An order is placed: Order-related data is retained to the extent necessary for the duration of service delivery and the customer relationship. Accounting records are retained in accordance with statutory retention periods.

Personal data submitted via the website contact form is delivered to Coverior Oy’s email address (info@coverior.fi).
Website enquiries are processed by an employee of Coverior Oy.

9. Service Providers and and Transfers Outside the EU/EEA

Coverior uses services provided by Louhi Net Oy to host its website and provide its email service. Louhi has servers in Finland.

10. Cookies

The website uses only strictly necessary technical cookies, which are required to ensure basic functionality and security.

The website does not use analytics or marketing cookies. The use of necessary cookies does not require user consent.

11. Rights of the Data Subject

Subject to the conditions set out in applicable data protection legislation, individuals have the right to access their personal data, request the rectification of inaccurate or incomplete data, request the erasure of personal data or restriction of processing, and object to the processing of their personal data where the conditions for exercising the right to object are met.
